Privacy Policy

This policy explains what personal information PVSWIM SCHOOL (PVGROUP PLT) collects through the PVSwim website and mobile app, why we hold it, and what you can ask us to do with it. It is written to meet the Malaysian Personal Data Protection Act 2010 (PDPA).

Who we are

PVSWIM SCHOOL (PVGROUP PLT) (Company Reg. No. LLP0042338-LGN), NO. 12-2, BLOCK K, JALAN GC 14, GLOMAC CYBERJAYA CYBER 4, 63000 CYBERJAYA, SELANGOR. We are the data controller for the information described here.

What we collect

From the parent or adult student

• Name, email address and phone number
• Billing address, where given for invoicing
• Payment records — amounts, dates and references. We never see or store your card or bank details; payments are handled by our payment provider.

About the swimmer

• Name, date of birth and identification number, as required to register a student and issue receipts
• Home address and emergency contact
• Class enrolment, attendance, skill assessments and progress reports
• Photographs, only where you have provided one for the student profile

From the mobile app specifically

The app receives a narrower set than the website holds:

• Your name, email and phone; your children's names, student ID, branch, level and class schedule
• Attendance, invoices, progress reports and messages
• It does not receive identification numbers, dates of birth or home addresses

Device permissions the app asks for

• Camera — to scan the check-in QR code at the pool. Images are read on the device to decode the code and are never uploaded or stored.
• Notifications — to send class reminders, invoice notices and messages from the school. You can turn these off in your device settings.

Your sign-in token is kept in the device's encrypted storage so you are not asked to log in each time. Signing out removes it.

Why we hold it

• To enrol students, run classes and keep the attendance register
• To issue invoices and receipts, and to meet tax record-keeping requirements
• To report a student's progress to their parent or guardian
• To contact you about your classes, payments and school announcements
• To keep children safe at the poolside, including emergency contact details

We do not sell personal information, and we do not use it for advertising or profiling.

Who else sees it

• Billplz — our payment gateway, for processing payments
• Google Firebase — to deliver push notifications to the app
• Our email provider, to send invoices and notices

Each receives only what it needs to perform that task. We do not share personal information with anyone else except where the law requires it.

Children's information

The app and the parent portal are used by parents and guardians, not by children. An account for a student under 18 is registered and managed by their parent or guardian, who provides the child's information and may review or correct it at any time.

How long we keep it

Student and class records are kept while the student is enrolled and afterwards for as long as we may need them to answer questions about their progress or attendance. Financial records — invoices, receipts and payments — are kept for seven years, as Malaysian tax law requires. Unfinished registrations are deleted after 30 days.

Your rights

Under the PDPA you may ask us to:

• Give you a copy of the personal information we hold about you or your child
• Correct anything inaccurate or incomplete
• Stop using it for a particular purpose, such as marketing messages
• Delete it, where we are not required to keep it

Keeping it safe

Data is sent over an encrypted connection, access is limited to staff who need it for their role, and sign-in tokens are stored in encrypted storage on your device. No system is perfectly secure, but if a breach affects your information we will tell you.

Deleting your account

To close your account and have your information deleted, email hello@pvswimschool.com from the address registered with us. We will delete what we are not legally required to keep, and tell you what must be retained and for how long.

Changes

If this policy changes we will update the date at the top. Material changes will be notified through the app or by email.
